User Management Overview
Required Permission
This feature requires the TEAM_ADMIN_USERS permission. See Feature Permissions for details.
Simply360's user management system allows you to control who has access to your team and what they can do. This section covers inviting users, managing their access, and understanding user statuses.
Key Concepts
Team Users vs. Team Admins
- Regular Users — Access is controlled by their assigned User Roles and Data Permissions
- Team Admins — Have full access to all team features and data, bypassing all permission checks
User Statuses
| Status | Description |
|---|---|
| Active | User can log in and use the platform |
| Pending | User has been invited but hasn't accepted yet |
| Deactivated | User account is disabled — they cannot log in (see Managing User Access) |
Accessing User Management
- Navigate to Team Administration → Users
- You'll see tables for Active Users, Pending Invites, and Deactivated Users
User Properties
Each user has the following properties:
- Name — First and last name
- Email — Login email address (must be unique)
- Phone Number — Optional contact number
- Department — Optional organizational unit
- Notes — Internal notes about the user
- Team Admin — Whether the user has full admin access (bypasses all Feature and Data permissions)
- User Roles — Assigned permission roles
- View Mode — Shared or Individual data visibility
View Modes
View Mode controls how data visibility works for non-admin users:
- Shared — User sees all data they have permission to access (based on role permissions)
- Individual — User only sees records they created or are assigned to
