Data Wizard External Access

This feature requires the TEAM_ADMIN_DATA_WIZARDS permission. See Feature Permissions for details.

The External Access tab in Data Wizard configuration controls how external (non-logged-in) users interact with public wizards. This includes which Data Collections can access the wizard externally and optional identity verification via SMS or email.

What is External Access?

When a Data Wizard is marked as "Public" (see Creating Data Wizards), it can be accessed by anyone via a direct link or embedded on an external website. The External Access tab lets you configure:

  • Which Data Collections can serve as the entry point for external access
  • Optional SMS verification to validate the user's phone number
  • Optional email verification to validate the user's email address

Accessing External Access Settings

  1. Navigate to Team Administration → Data Wizards
  2. Click on the wizard (see Data Wizards Overview)
  3. Select the External Access tab

Configuring Data Collection Access

The External Access tab lists Data Collections that can externally access the wizard. This determines which collections the wizard can pull from or write to when accessed by external users.

  1. Add the collections that this wizard should interact with when accessed externally
  2. Each collection can be configured independently

SMS Verification

When SMS verification is enabled, external users must verify their phone number before proceeding with the wizard:

  1. Enable SMS verification for the collection
  2. Select the Phone Field — choose which phone number field to use for verification
  3. When a user accesses the wizard, they enter their phone number
  4. The system sends a verification code via SMS
  5. The user enters the code to verify their identity
  6. If the phone number matches an existing record, the wizard can pre-populate data from that record

Email Verification

Email verification works similarly to SMS verification:

  1. Enable email verification for the collection
  2. Select the Email Field — choose which email address field to use for verification
  3. The user enters their email address
  4. The system sends a verification code via email
  5. The user enters the code to proceed
  6. If the email matches an existing record, the wizard can reference that record

Verification Purpose

Verification serves two purposes: it confirms the user's identity, and it allows the wizard to locate an existing record so returning users can update their information rather than creating duplicates.

Impact on Users

  • External access settings only affect users who access the wizard via a public link or embed — internal team users are not affected
  • If verification is enabled, users must complete verification before they can proceed with the wizard
  • Verification links the user to an existing record in the collection, allowing the wizard to pre-fill known data
  • If no matching record is found, the wizard treats the user as new and creates a record
  • Internal users' access to wizards is controlled by Data Permissions (Wizard tab), not External Access settings
